4 | BIRMINGHAM-SOUTHERN COLLEGE
Once the Official approves the policy, he/she will then forward the policy to the
President’s Council for review and approval. If College governance, as defined
by the bylaws, also requires approval of the policy by the Board of Trustees, the
President will promptly submit the policy proposal to the Board for approval
immediately following approval of the proposed policy by the President’s Council.
All policies which exist to meet the requirements of the College’s bylaws are
owned, regulated, and enforced by the Board of Trustees.
Once the policy has been approved by the President’s Council, the Official will
work with the Vice President for Communications to ensure timely posting of the
policy on the Policies Webpage. The Official will also ensure that the policy is
publicized and distributed to the College community.
Responsibility for Monitoring Adherence to Policies, Reviewing
Policies for Effectiveness, and Ensuring the Policies Reflect
Current Requirements
Officials are responsible for developing an internal process that allows the policies
applicable to their areas to be monitored for adherence. The Officials are also
responsible for overseeing the periodic review and revision of policies relating
to their units and areas of responsibility. These reviews should occur no less
frequently than annually
Note: A department, office, or division may be designated as a “unit” for purposes of this
document.
Process for Decommissioning a College Policy
When an Official confirms that a policy is no longer needed or is more effectively
combined with another policy, that Official will require the responsible office to
submit a formal request for dissolution to the Official. The Official will confer
with the President’s Council, applicable College governance groups, and subject
matter experts as appropriate to ensure overall impact is considered prior to
decommissioning of any policy.
Once the request has been approved by the President’s Council, the Official will
notify stakeholders and contact the Vice President for Communications, whose
unit is responsible for the Policies Webpage, to request the policy be removed from
public viewing and archived.
